Can you finance an EPOS and point of sale?

Yes. EPOS is financed constantly, especially in hospitality and retail. The terminals, printers, cash drawers and handhelds are tangible items, though individually low in value and heavily used, so recovery value is limited. The software that makes the system work is licensed, usually monthly, and cannot be repossessed. Agreements are typically lease or hire purchase against the business. Used EPOS hardware is rarely funded. What surprises most operators is that the software, menu build, integration to bookings or stock, and staff training often exceed the cost of the hardware itself.

Used kit: Rarely. Second-hand tills and terminals are widely resold but arrive worn, are often tied to a specific software platform, and carry too little value for funders to treat as security.

How lenders treat it

EPOS is a soft asset used in a hard environment. Terminals live on wet bars and dusty counters, handhelds get dropped, and by the end of an agreement the hardware is cosmetically finished. The software is a subscription I can never take back. So the underwriting is about the business, and in hospitality that means looking properly at trading patterns, the operator’s track record and whether the site is established or brand new. I fund new openings, but I expect a director guarantee and realistic projections rather than optimism. What I look for is an operator who has run venues before and a rollout sized sensibly against covers or turnover.

Who buys one

Restaurants, bars, cafes and takeaways opening a new site or replacing a system that cannot handle table ordering, delivery integration or card payments properly. Independent retailers move on EPOS when stock control by spreadsheet stops working. The trigger is frequently a new opening, a franchise requirement to standardise, or a system reaching the point where the supplier no longer supports it. Multi-site operators also switch to gain consolidated reporting across venues.

How it is treated for tax

Bought on hire purchase, business plant and machinery normally qualifies for capital allowances on the full cost even though you pay for it monthly, which is a large part of why hire purchase is the common structure. On a finance lease you generally set the rentals against profit instead. The rules change between budgets and your position depends on how you trade, so treat this as the direction of travel and get your accountant to confirm the detail before you commit.

Can the EPOS software be bundled with the hardware?

Yes, that is how most suppliers package it and funders are used to seeing the combined invoice. Understand that the software carries no security value at all, so a quote weighted towards licensing, menu configuration and training will be assessed against your trading figures rather than the equipment.

We are opening a new restaurant. Can we finance EPOS before we trade?

Often yes. New openings are funded regularly, but the assessment shifts to the people behind the business: previous operating experience, the strength of the site, the projections and usually a personal guarantee. Come to us early in the fit-out programme, as approvals are far easier before every other commitment is already in place.

Can card payment terminals be included?

Sometimes, though payment hardware is frequently supplied by the acquirer under their own arrangement rather than purchased outright. Where you are buying terminals as part of the EPOS package, they can be included. Where the acquirer provides them on a monthly basis, that sits outside the finance entirely.

What about handhelds for table ordering?

They are funded as part of the same project and are one of the most common additions we see. Bear in mind rugged devices cost more than consumer tablets and are worth it in a service environment. They carry the same soft-asset treatment as the rest of the system, so the business covenant drives the decision.

Can we finance EPOS across several venues at once?

Yes, and it is usually the better approach. A multi-site rollout presents as a planned project with consolidated reporting behind it, which funders understand. We will need a schedule showing the equipment going to each venue, and the funder will want to know whether the sites are leased or owned.
