Can you finance a video conferencing?
Yes. Video conferencing kit is one of the better technology assets to fund because it is real, visible hardware — cameras, displays, room compute, touch panels — that stays mounted where it is installed and has a working second-hand market. Agreements are usually lease or hire purchase against the business. Used equipment is occasionally funded through established AV resellers. The one thing to watch is the room licensing: most platforms require a per-room subscription, and that portion is a service rather than an asset, so it is assessed on your covenant rather than treated as security.
Used kit: Yes, sometimes. Ex-corporate conferencing hardware trades through AV resellers and a few funders will consider it, though most prefer new equipment with manufacturer warranty and current platform certification.

What would a video conferencing cost per month?
Business asset finance is quoted on a flat rate, so that is what this shows — with the equivalent APR underneath, because the two are not the same number. A quick guide only; your actual rate depends on the asset, term, deposit and lender.
Representative example: on Hire Purchase, borrowing £25,000 over 48 months at a 6.0% flat rate (equivalent to 11.5% APR representative), you would repay around £646 a month; total amount repayable approximately £31,000, of which £6,000 is the cost of finance. How lenders treat it
This is one of the parts of IT where I am genuinely comfortable. A conferencing bar, a mounted display, a table touch controller: these are identifiable items, they are wall or ceiling fixed rather than portable, and the AV trade does buy used equipment. Recovery is still imperfect — demounting costs money and installed brackets stay behind — but it is not fiction. So I will give the hardware some weight. What I do not give weight to is the room subscription, the cabling or the installation days, which on a multi-room rollout can be a sizeable share. I like estate-wide projects from established businesses; I am more careful with a small company kitting out a boardroom far beyond its scale.

How it is treated for tax
Bought on hire purchase, business plant and machinery normally qualifies for capital allowances on the full cost even though you pay for it monthly, which is a large part of why hire purchase is the common structure. On a finance lease you generally set the rentals against profit instead. The rules change between budgets and your position depends on how you trade, so treat this as the direction of travel and get your accountant to confirm the detail before you commit.

Can we finance several meeting rooms at once?
Yes, and an estate-wide rollout is usually a stronger application than a single room. Funders like a co-ordinated project with a clear schedule of equipment and locations. It also tends to be better commercially, since integrators price multi-room work more keenly than one-off installations, which we can factor into the structure.
Does the room subscription get included?
It can be bundled into the project where it is purchased up front, though the funder treats it as a service with no recovery value. Where the subscription is billed annually by the platform provider it normally sits outside the agreement. Your integrator’s quote will make the split clear and we work from that.
Is conferencing hardware genuinely easier to finance than laptops?
Yes, modestly. It is installed rather than carried, it is identifiable, and there is an AV trade market for used equipment. That gives an underwriter something real behind the agreement. Your accounts still drive the decision, but you will typically find more funders willing to look at the proposal.
Can the display and mounting be included with the camera system?
Usually yes. Screens, brackets, table boxes and in-room cabling normally appear on the same integrator quote and go on one agreement. The display retains a little value; the bracket and cabling do not, as they stay with the room. It is simpler to fund the whole room as a unit.
We are refurbishing the office. Should AV be financed with the fit-out?
The AV element is generally cleaner on its own, because it contains identifiable equipment, whereas partitions, flooring and decoration have no recovery value whatsoever. Mixing them can drag the whole application onto pure covenant assessment. We are happy to look at how the project is best divided before anything is submitted.
