Can you finance a printer and MFD?

Yes, and office print is one of the most financed assets in the country. A multifunction device is a large, serial-numbered machine that stays in the corridor where it was installed, and there is an established refurbished trade, so funders are comfortable with it. Most are written on lease or hire purchase in the ordinary way. Used devices are sometimes funded where supplied by an established dealer. The sticking point is the service and click charge: the toner, parts and maintenance are billed separately per page, and that contract runs alongside the finance, not within it.

Used kit: Yes, frequently. Refurbished copiers with verified meter readings are traded actively through dealers, and several funders will consider them, particularly where the same dealer provides ongoing service.

How lenders treat it

Office print is familiar territory and I fund it readily. The machines are heavy, wheeled into position and left there, they carry serial numbers and meter readings, and a whole dealer industry exists to refurbish and redeploy them. That is far more comfort than I get from most IT. My caution is around the service contract. A device without toner and maintenance is scrap, so if the supplier relationship breaks down the asset stops being usable, and I have seen deals where the finance was sound but the supplier was not. I therefore look at who is providing the machines as well as at your accounts, and I pay attention to how volume commitments are structured.

How it is treated for tax

Bought on hire purchase, business plant and machinery normally qualifies for capital allowances on the full cost even though you pay for it monthly, which is a large part of why hire purchase is the common structure. On a finance lease you generally set the rentals against profit instead. The rules change between budgets and your position depends on how you trade, so treat this as the direction of travel and get your accountant to confirm the detail before you commit.

Printer and MFD finance questions

What is the difference between financing a copier and taking a print contract?

A finance agreement buys the machine and is separate from the service. A bundled print contract wraps hardware, toner and maintenance into one per-page charge, which can be convenient but makes the equipment cost hard to see. We can arrange finance for the device so you negotiate the service element on its own merits.

Can toner and servicing be included in the finance?

Generally not, and for good reason. Consumables and maintenance are consumed as you print, so they are billed by meter reading rather than financed. The exception is an initial supply of toner included with the machine. Everything after that belongs in your service agreement with the supplier.

We are tied into an existing agreement. Can it be settled early?

Sometimes, and suppliers often offer to absorb a settlement into a new arrangement. Be careful with that, since the balance does not disappear — it is usually built into the new commitment. Ask for the settlement figure in writing and let us show you what the combined position really looks like.

Are copiers easier to finance than other IT?

Yes, distinctly. They are heavy, static, individually identifiable and supported by a mature refurbished market with meter readings that prove usage. Funders have decades of experience with the asset class. It is one of the few technology purchases where the equipment itself genuinely contributes to the lending decision.

Can we fund devices across several offices on one agreement?

Yes. An estate-wide replacement programme is straightforward to document, with a schedule listing each machine and its location. Funders are comfortable with equipment spread across sites provided the addresses are recorded, and consolidating the request usually improves both the pricing and the process.
