The hardware — terminals, handhelds, printers, cash drawers, screens — is fundable as equipment on hire purchase or lease, and so is a perpetual software licence bought outright. A monthly software-as-a-service subscription is not an asset, so it cannot go on an equipment agreement and stays as a running cost. Used EPOS hardware is rarely worth funding. The practical catch is that most modern restaurant systems are sold as low-cost hardware plus a per-terminal monthly fee, which leaves less to fund than operators expect.

EPOS is close to a pure soft asset. Terminals depreciate fast, second-hand hardware has almost no trade value once it is a generation behind, and the software that makes it useful is licensed rather than owned. Funders therefore lend against the business, not the tills. That said, IT and software facilities are a well-established part of the asset finance market, and several funders are comfortable writing them for established operators with filed accounts and clean bank conduct. Hospitality carries its usual loading and new sites are difficult. Where a system is sold as cheap hardware plus a subscription, expect the funder to advance only against the hardware and any outright licence, and consider an unsecured business loan if you want the whole project covered.

The rules change between budgets and your position depends on how you trade, so treat this as the direction of travel and get your accountant to confirm the detail before you commit.
