Yes, and an intraoral scanner is a straightforward asset to fund because it is portable, serial numbered and holds a real second-hand market. Practices usually fund the wand, cart, laptop and the initial software bundle as one invoiced package. The wrinkle is the software: an increasing number of scanners are sold with an annual subscription rather than a perpetual licence, and recurring subscription fees cannot be capitalised into an asset agreement. It is identifiable by serial number, it can be recovered in an afternoon, and there is an active dealer market in previous generation wands, so the loss given default looks nothing like a plumbed-in chair. Dentists are already a favoured profession and several healthcare desks will run a scanner through a light-touch process on the strength of GDC registration and a clean credit file. Where it goes wrong is the invoice mix. Funders will strip out multi-year software subscriptions, training days and extended warranty from the fundable total, which means the amount approved can come back lower than the amount quoted. Finance-encumbered second-hand wands sold privately are another common reason for a decline.

Who buys one

Typically a principal who has decided to stop sending alginate to the lab, or a practice starting to take clear aligner cases in house and needing scans a manufacturer will accept. Referral-heavy implant and restorative practices buy them to cut remakes. We also see two-site owners buying a second wand so the scanner stops being carried between branches in the boot of a car, which is exactly the habit that ends in an insurance claim.

How it is treated for tax

Bought on hire purchase, business plant and machinery normally qualifies for capital allowances on the full cost even though you pay for it monthly, which is a large part of why hire purchase is the common structure. On a finance lease you generally set the rentals against profit instead. The rules change between budgets and your position depends on how you trade, so treat this as the direction of travel and get your accountant to confirm the detail before you commit.

Can I include the aligner software subscription in the finance?

Generally not if it is billed annually. Funders capitalise the hardware and any perpetual licence sold with it, but a recurring subscription is a service, not an asset, and there is nothing to recover if payments stop. Ask your supplier to split the quote so the fundable hardware total is clear before we approach anyone.

I am an associate, not a practice owner. Can I finance my own scanner?

Sometimes. A self-employed associate with a few years of accounts and a stable chair at an established practice can be fundable in their own name, often with a personal guarantee. The obstacle is usually thin filed accounts rather than the asset, so have your self-assessment returns and associate agreement ready.

What happens if I want to upgrade to the next generation mid-agreement?

Most dealers will take the existing wand in part exchange and we would look at settling the original agreement and writing a new one for the replacement. It is worth asking the supplier what the trade-in position looks like before you sign, because that number does more to determine the sense of an upgrade than anything else.

Is a scanner bought for a second branch assessed separately?

No, it is assessed against the same trading entity, so a group of practices under one company is looked at as a whole. What does change is exposure: a funder that already holds two agreements with you may cap how much more they will write, which is precisely where having sixty-odd lenders to approach helps.

Do lenders care which scanner brand I choose?

Only to the extent it affects resale. Mainstream brands with a UK service network and an active used market are the easiest to place. A niche import that no UK dealer will refurbish or support gives the underwriter nothing to fall back on, and that occasionally shows up as a lower approval or a request for more deposit.
